Gift Card Guide

Learn how to set up, display, and manage gift cards. This includes custom designs, reporting, customer balances, refunds, and FAQs.

πŸ“ Overview

Gift Cards allow your customers to purchase and redeem digital gift cards directly through your widget. You're paid as soon as a gift card is sold β€” not when it's redeemed β€” making it a great way to generate revenue and spread the word about your business. Gift cards are completely digital and unique to your business (they cannot be used across other providers).

πŸ› οΈ How To Enable Gift Cards

To start selling gift cards, you'll first need to enable the feature.

  1. Go to Products in the left hand navigation, then select Gift Cards

  2. Select the Set Up button

  3. In the section labeled Enable Gift Cards, toggle the button to the right. We want the toggle to show as the color green along with a check mark.

  4. Select your Widget Status:

    • Choose Visible on Widget or Not Visible on Widget

    • Clicking the Customer Link button will copy a direct link to your gift cards tab. You can paste this to marketing emails or your website

  5. Determine what Preset Amounts you'd like to offer and whether you'd like to allow Custom Amounts

    • Preset amounts equal to the cost of a typical class make it easy for clients to gift a full experience

    • You cannot sell a gift card for more than $5,000

  6. Select at least one gift card design to offer, or upload your own custom design

  7. Read and acknowledge the Gift Card Terms and Conditions on the Setup page

  8. Press Save

🎨 How To Upload a Custom Gift Card Design

Add a custom image to your gift card offerings to give it a personal touch.

  1. Go to Products in the left hand navigation, then select Gift Cards

  2. Click the Manage button in the top right of the screen

  3. Scroll down to the Gift Card Design and then select Add a Custom Photo.

  4. Use high-resolution images scaled to 1100 x 785 px for best results. Once the Cropped Photo looks how you wish, select Save.

  5. Click the newly uploaded design and make sure it has a check mark over it to use the design. The gift card amount will display in white text over the design.

  6. Then select Save at the bottom of the screen.


πŸ§‘β€πŸ’» How Gift Cards Work for Customers

Customers purchase gift cards directly through your widget. Once purchased, they can choose to receive the gift card by email or print it out. Gift card emails automatically include a downloadable PDF.

To redeem a gift card, the recipient uses the PIN and code from their email at checkout when purchasing an activity.

πŸ’‘ Gift cards do not expire and cannot be reloaded β€” customers can always purchase a new one through your widget.


βš–οΈ How To View a Customer's Gift Card Balance

You can view a contact's gift card information directly from their profile.

  1. Go to Contacts in the left hand

  2. Click on the contact's name

  3. Select the Gift Card Balances tab

The Gift Card Balance Tab displays:

  • The customer's available gift card balance

  • All gift card transactions and their dates

  • The amount redeemed on specific dates

  • It tracks multiple gift cards. If a client has purchased gift cards more than once, all of their transactions will appear here.


πŸ“© How To Resend a Gift Card

As a provider, you are not able to resend a gift card on behalf of a customer. The original purchaser must follow these steps:

  1. Log in to hisawyer.com

  2. Hover over their name in the top right corner and select Orders

  3. Select the order associated with the gift card purchase

  4. Download the gift card PDF and manually send it to the recipient


πŸ”„ How To Refund an Order Back to a Gift Card

⚠️ This is not a cash refund. Gift cards cannot be refunded for cash.

If you need to refund a cancelled order that was paid with a gift card, follow the steps below.

  1. Navigate to the order

    1. Go to Financials tab and then click Orders

      OR

    2. Go to Contacts and then click Orders tab

  2. Click the Order

  3. Select Cancel Order

  4. When prompted, select Refund to Gift Card Balance

  5. Enter the Refund Amount

  6. Enter the Reason for Refund

  7. Press Refund


πŸ“Š Reporting

Gift card reports can be accessed by going to Products > Gift Cards > Download Reports. There are four available reports.

Gift Card Purchases Report

Reflects purchaser data for all gift cards purchased β€” both redeemed and unredeemed.

This report includes the following fields:

  • Date Purchased

  • Purchased By Name

  • Purchased By Email

  • Amount

  • Order Number

  • Redeemed By Name

  • Redeemed By Email

  • Date Redeemed

Gift Card Balances Report

Reflects the remaining balances on client gift cards. Useful for accounting purposes, as it shows outstanding balances (which accountants may refer to as a liability). Note: Only gift card funds that have been redeemed will appear here.

This report includes the following fields:

  • Client Name

  • Client Email

  • Gift Card Balance Amount

Gift Card Add-to-Balance Report

A transaction timeline of all Add-to-Balance transactions β€” funds added by the provider to a customer's gift card balance.

Gift Card Remove-from-Balance Report

A transaction timeline of all Remove-from-Balance transactions β€” funds removed by the provider from a customer's gift card balance.

⛔️ Providers will not see unredeemed gift card funds in a recipient's account until the recipient redeems the funds at checkout using the PIN and code from their email.

Are gift cards easy to set up?

Is there a maximum amount a customer can purchase?

Yes. You cannot exceed $5,000 when setting the maximum gift card amount.

Can I create coupons or discounts that apply to gift cards?

Can I restrict gift cards to only work on certain types of purchases?
